Job Responsibilities

  • Assist the HSEQ team in monitoring and maintaining the company’s HSEQ management systems and records.
  • Coordinate with vessels to ensure timely submission and updating of HSEQ-related reports, checklists, records and documentation.
  • Follow up with vessels on pending HSEQ actions, observations, deficiencies and close-outs.
  • Monitor and maintain records of PSC, Flag State, SIRE, RightShip, Class, Terminal, Insurance and other inspections, including close-out of observations.
  • Monitor due dates for vessel and office internal audits, external audits and inspections, and follow up with relevant stakeholders.
  • Assist in maintaining HSEQ-related data and reports in the company’s ERP/PAL or other management systems.
  • Coordinate with vessels and relevant departments for troubleshooting and resolution of HSEQ system-related issues.
  • Assist in monitoring PMS/HSEQ-related overdue items and alert the concerned Superintendents.
  • Assist in preparation and maintenance of HSEQ reports, statistics, dashboards and management information.
  • Assist with preparation and coordination of Management Review Meetings and Management Meetings, including agenda preparation and minutes.
  • Maintain records of training, drills, campaigns and HSEQ activities carried out by vessels and shore-based Superintendents.
  • Follow up with vessels regarding HSEQ circulars, campaigns, safety alerts and company communications.
  • Assist in monitoring Flag State circulars and regulatory updates and ensure relevant information is circulated to vessels.
  • Coordinate with vessels for completion and updating of various HSEQ forms, checklists and Excel/Word-based records.
  • Assist with monitoring Drug & Alcohol testing requirements and frequency on board vessels.
  • Assist in tracking and maintaining records of HSEQ deficiencies, non-conformities, corrective and preventive actions (CAPA).
  • Support preparation and updating of vessel documentation required for takeover, delivery and other HSEQ-related projects.
  • Assist with maintaining updated company and emergency contact lists and distributing them to vessels.
  • Coordinate with the HSEQ team and vessels for US port call / regulatory documentation where required.
  • Assist with maintaining inspection and audit records in the company’s systems and ensuring timely close-out.
  • Download and circulate relevant class status, HSEQ and vessel reports to vessels and internal stakeholders.
  • Assist in maintaining updated Q88, HVPQ, officers' matrix and other vessel-related HSEQ information.
  • Support the HSEQ team in ensuring compliance with company procedures, SMS requirements, Flag State regulations and applicable industry standards.
