Job Description

 

 

 

Responsibilities:

Corporate Secretarial Support:

  • Providing secretarial support to the Legal and Corporate Secretarial Department (such as printing documents, compiling documents, proofreading, simple translation from English to Chinese, verifying information, simple drafting)
  • Assisting in conveying annual general meetings (such as booking a hotel, liaising with service providers, sending the invitation, compiling attendance list, etc).
  • Assisting in the publication of annual report and sustainability report, interim report printing (including obtain fee proposal, proof-reading, etc)
  • Any other duties as assigned by the Legal Counsel

 

 

 

Office Administration:

  • Answering incoming calls in a professional manner
  • Maintaining an adequate inventory of office stationery and pantry supplies
  • Co-ordinating flight, hotel, and logistics booking and assist in the documentation of travel visa application
  • Maintaining office cleanliness and general upkeep of the office
  • Liaising with building management for the building access, season parking application and valet parking, etc.
  • Co-ordinating meetings/conferences and organize office activities and events

HR Administration:

  • Providing HR support including recruitment activities, onboarding/offboarding, benefits admin, employee leave record, work pass administration, and other HR duties as assigned
  • Handling of the monthly payroll process and yearly income tax submission
  • Handling of account payable process and payment voucher administration
